Vendor Information: Document Guidelines

All documentation must be lodged in the office of William Inglis & Son Ltd prior to the sale.

A fee of $110 (incl GST) will be charged to cover our follow up work for documents which are not in order on the day of the sale.

Non compliance with the following conditions may result in the sale proceeds being delayed and an office administration fee being charged.

Racehorses and Mares being sold as 'Racing and Breeding Proposition'

  • Racing registration documents must be signed by all relinquishing owners in the relevant area.
  • If there are time constraints in circulating the document to owners, an authority letter in the format set out by our office is acceptable. Please contact our office for a blank copy of the authority letter. (Note: a copy will be made available from the Racing NSW website)
  • Fully signed documents and/or authority letters should be lodged in our office prior to the sale.
  • Racing leases should be cancelled prior to the sale

Pregnant Broodmares

  • A certificate of pregnancy dated within 7 days of the sale must be provided.
  • If you have arranged this with your own vet please fax or present a copy to our office. Alternatively, we can have the mare tested at the saleyard. Please let our office know should you require us to arrange this.

Broodmares not in foal

  • Returns for mares which have missed, slipped or not been served, must be lodged with the Australian Stud Book prior to the sale.
  • All Stud Book requirements and fees must have been attended to.
  • Foals at foot are not required to be bloodtyped.

Imported Mares

  • Import applications must be lodged prior to entering the country. This should be arranged with your shipping company.
  • The Australian Stud Book will issue labels for bloodtyping on receipt of the import applications.
  • Unbranded mares are required to be branded prior to bloodtyping.
  • Should your mare be in foal please refer to the relevant section above.

Weanlings, Yearlings & Unnamed Stock

  • All weanling, yearling and unnamed horses must be branded and microchipped and DNA tested prior to the sale. An foal identification card, must be lodged in our office as soon as possible prior to the sale.
  • Should the horse not yet be microchipped and DNA tested, please apply to the Australian Stud Book for a kit and have your horse microchipped and DNA tested immediately. A copy of the bloodtyping identification certificate should be lodged in our office. Please send the foal identification card to our office and not direct to the purchaser.
